Holds - How to Delete
You can delete holds in two different ways: 1) through a CSV upload, or 2) directly from the Holds tab in Express.
CSV:
To delete through a CSV:
- Go to Results > Import Data > click CSV
- Change dropdown to External CSV File (Delete)
- Export a template
- Paste the needed details into the file (i.e. Deal Id and Event Name). If you do not know the Event Name, this is based on the payment rule structure.
NOTE: this field in the CSV file is case-sensitive. if you do not know the deal Ids, it is recommended to use XCPayoutDetails to see this detail.
- To delete a hold, do not enter a negative amount, unless the hold was originally a negative hold. Instead, enter in the positive credit amount (if prorate) or leave the Hold Balance field empty (if milestone) and when uploading the Delete file it will automatically subtract the hold from any payout for the rep(s) associated with the hold.
- If Multi-Currency is Turned ON then you will be prompted to add "Currency Code" to all holds. This is recommended to properly release the hold.
If there are multiple users on the same hold, with different currencies, add the deleted deal line item only once to the file under one currency. If it is a prorate release, the amount deleted is based on the currency entered.
- Save as a CSV file.
- Go to Express > Results > Import Data > click CSV
- Click "Choose File" > Import Deletes NOTE : click "file contains header", if applicable.
- Once the rows have finished loading, go to Results > Run Calculations
- Click "Show Steps" > Process Releases.
NOTE: You don't have to re-run ALL steps, only Step 2 and Step 3.
- Click "Finalize Payment"
NOTE: To confirm, go to Results > Manage Results > Releases > all holds will show "Deleted" under "Status"
Holds Tab:
If you would like to delete it directly from the Holds tab, then you will want to:
- Results > Manage Results > Holds tab
- Search by name or Opportunity name or deal Id
- In the upper left corner under "Create New View" click the checkbox to select all holds
- In the drop-down menu "Actions" click "Delete"
- If prorate holds, under the “Balance Paid” field enter in the credit amount you would like to delete. The "Balance Remaining" field shows how much credit is still on hold.
When it comes to deleting a hold, do not enter a negative number. Instead, enter the amount you would like to delete and under "Action" click "Delete". This will automatically subtract the hold from any payout for the rep(s) associated to the hold.
- If prorate holds, under the “Balance Paid” field enter in the credit amount you would like to delete. The "Balance Remaining" field shows how much credit is still on hold.
