Holds - How to Release
You can release holds in two different ways: 1) through a CSV upload, or 2) directly from the Holds tab in Express.
CSV:
To delete through a CSV:
- Go to Results > Import Data > click CSV
- Change dropdown to External CSV File (Release)
- Export a template
- Paste the needed details into the file (i.e. Deal Id and Event Name). If you do not know the Event Name, this is based on the payment rule structure.
NOTE: this field in the CSV file is case-sensitive. if you do not know the deal Ids, it is recommended to use XCPayoutDetails to see this detail.
- If a field should be treated as a Wildcard, for CSV files, leave the field on the file blank. The column is required, but no information should be entered.
- If Multi-Currency is Turned ON then you will be prompted to add "Currency Code" to all holds. This is recommended to properly release the hold.
If there are multiple users on the same hold, with different currencies, add the release only once to the file under one currency. If it is a prorate release, the amount released is based on the currency entered.
- Save as a CSV file.
- Go to Express > Results > Import Data > click CSV
- Click "Choose File" > Import Releases.
NOTE: click "file contains the header", if applicable. - Once the rows have finished loading, go to Results > Run Calculations
- Click "Show Steps" > Process Releases.
NOTE: You don't have to re-run ALL steps, only Step 2 and Step 3.
- Click "Finalize Payment"
NOTE: To confirm, go to Results > Manage Results > Releases > all holds will show "Released" under "Status"
Holds Tab:
To release holds from the Holds tab:
- Go to Results > Manage Results > Holds tab
- Search for the Opportunity/Deal by typing the name or entering the deal Id in the search box
- In the upper left corner under "Create New View" click the checkbox to select all holds (or select the specific hold by clicking the checkmark next to the hold)
- If prorate holds, under the “Balance Paid” field enter in the credit amount you would like to release or delete. The "Balance Remaining" field shows how much credit is still on hold.
NOTE: The system will automatically include commas and decimal points when you click away from the box. It is recommended to write a number without a comma. For example, "$45,000.00" should be typed in as "45000".
- In the drop-down menu "Actions" click "Release”
- Go to Results > Run Calculations > re-run steps 2 and 3.
NOTE: It is recommended to first run all steps in calculations so it is showing a solid green checkmark. To do this go to Results > Run Calculations > Run All Steps.
Additionally, from the Holds tab, the CSV file can be uploaded and holds can be released:
- Go to Results > Manage Results > Holds > click "Options" on the right side of the screen
- In the drop-down menu, select "Import Releases"
- Step 1, click "Browser" > select the CSV file you would like to upload > indicate if the file contains a header
NOTE: This CSV file is based on External CSV File (Delete) template. This template can be viewed on the Holds tab under Options > Manage Release File. - 4. In Step 2 click Import and Release.
- If trying to delete, click "Allow Holds to Be Deleted" > Import and Delete Holds.
- Step 3 will show the status of the import.
- Go to Results > Run Calculations > Re-run Step 2: Process Releases. Once completed, click Step 3: Finalize Payment.
NOTE: If there are multiple reps on a hold, then deleting the hold will also delete the hold for those reps.
