Creating a New Mapping
- Go to Setup > Define Deal Attributes
- On the bottom left side of the screen click the "Add mapping" button.
- Select Deal Import, Release Import, or Delete Hold Import depending on what kind of mapping you are looking for.
Deal Import:
This is to import deals either via Salesforce or CSV
- If you choose Salesforce select the object you would like to pull the information from (i.e. Opportunity Product, Invoice, Project).
- Click "Add Row". You will be adding all the fields needed for the mapping. If the same fields as used in the original mapping, you will still need to add the fields into the new mapping. Each mapping functions individually.
- Under "Data Type", column 1, select "Date", for example
- Under "Field Name", column 2, search for "Close Date". This list that shows initially in the drop-down menu is all the text fields on the Opportunity object.
- If the field is housed on a parent object, you will want to click "Lookup Field" > search for the parent object name and click the link with the double arrows found on the right side of the screen (i.e "Opportunity >>") > search for the field name.
NOTE: When selecting deal Id, please refer to the following:
Mapping to Opportunity: look for the field name "Opportunity"
Mapping to Product: look for field name "Line Item"
Mapping to Custom Field: look for field name "Record"
- Under "Express Field Name" if you have already added the field name into the "View All Fields" section (i.e. it is showing under the drop-down menu when you click on "New Field"), select the name from the drop-down menu. If this is a new field name, then click the pencil icon to type in a new field name.
NOTE: Deal Date, Salesperson, or Deal Id field names cannot be changed as they are standard with every mapping. This is as designed.
- Click both green checkmarks to save the field name. One next to the Express Field Name and the other next to Options.
- Click the floppy disk icon to save the entire page.
*Under Deal Attributes fields there is a fixed number of fields you can add within Express:
Currency: 10 custom “Currency” fields
Date: 6 (5 custom “Date” fields, 1 Standard "DealDate")
Decimal: 10 custom “Number” fields
User: 5 (4 custom “Profile” fields, 1 standard "Salesperson")
Text: 26 (25 custom “String” fields, 1 Standard "Deal Id")
Checkbox: 5 custom checkbox fields (listed as “Boolean”)
- Each mapping will have to have a different combination of unique fields. Typically, only deal Id is the only unique Id. To make both mappings use the same Opportunity Id or Deal Id, but pull a deal in twice, once for revenue sales and once for clawback, you will want to add in a Constant Value called "Import Source". This makes it so the combination of deal Id and Import Source make up the unique Id. If each mapping has the same deal Id, but the Import Source is different then the combination of the two is different and the deal will pull in twice.
To do this:
- Go to Setup > Define Deal Attribute
- Go to View All Fields**
- Click "Add Row"
Data Type: Text
Express Field Name: Import Source
Unique Field: check to make true - Select the mapping you use for the reps plan
- Click "Add Row"
Data Type: Text
Field Name (Column 3): in the drop-down menu select "Constant Value" > where is says "Constant" change to the mapping name. For example, "Clawback" (do not add in quotation marks)
Express Field Name: select the pencil icon and type "Import Source"
- Save
**Skip ii - iii if the "Import Source" field name has already been created.
- Click "Add Row". You will be adding all the fields needed for the mapping. If the same fields as used in the original mapping, you will still need to add the fields into the new mapping. Each mapping functions individually.
- If you choose CSV, it will automatically show the preselected required fields (shown under View All Fields). You can check the box next to Import Field to add a field to the CSV mapping.
Release Import:
This will create a Salesforce automation release holds mapping
- It will automatically populate the required fields (shown under View All Fields). You can check the box next to Import Field to add a field to the CSV mapping.
- No additional fields need to be added to this mapping. Only current fields need to be correctly updated.
Delete Hold Import:
This will create a Salesforce automation delete holds mapping
- It will automatically populate the required fields (shown under View All Fields). You can check the box next to Import Field to add a field to the CSV mapping.
- No additional fields need to be added to this mapping. Only current fields need to be correctly updated.
