Before you turn ON Multi Currency
The system is designed to go off Salesforce for currency exchange rates. If a rep has a currency of USD and the company currency is USD, then there will be no exchange rate, but if it is GBP or CAD, then the system will use the exchange rate based on the exchange rate in Salesforce.
Multi-currency must be turned on in Salesforce first, before having the option available in Express. Once it is turned on in Salesforce it cannot be turned off. Multi-currency can cause some reports to show errors at first as the Salesforce instance moves from one currency to many.
Additionally, please note the following:
- Only Currency data type fields in Express can do the exchange rate. If in the future you run out of Currency fields (max is 10) and you use a decimal field instead, Express will not calculate the exchange rate on this field.
- If you have the quotas set up in USD amount, the system is pulling in numbers automatically as GBP or CAD which will change the quota. It is recommended to make the quotas based on the exchange rate for that rep's currency. GBP quota for GBP rep currency.
- Only deals in the current period moving forward will reflect the exchange rate percentage and details. When you are in the dashboard of a rep has any field that is a currency field that field will have an asterisk. When you hover over that asterisk you will see the exchange rate details such as percentage and amount. This is only available once multi-currency is turned on. All past-period deals will not reflect these details.
- Multi-currency can be turned on mid-year but is recommended to start the multi-currency option during the new year to prevent YTD numbers from being skewed. For example, if a rep starts off in USD, but is changed to GBP, the system is not designed to show the YTD credit as GBP. The numbers will be a combination of USD and GBP.
- You can change a rep's currency at any time. This needs to first be done in SFDC (SFDC > User > find user name > scroll to the bottom and change the "Locale Currency" to the new currency). The next time you log into Express, an alert message will appear to make the currency change. This can only be done when calculations have been undone and are showing the grayed-out checkmark.
- Xactly cannot turn on multi-currency for a customer, only the customer can do this by contacting Salesforce Support.
