User Setup Guide

Latitude 39 Express is an application built on the salesforce.com platform. At a high level, the application stores data in Custom Objects (labeled with an XC prefix), moves data using Apex Classes, and displays the user interface using Visualforce. This document outlines the steps to grant those profile elements to Express users.

Step 1 - Set Profile Permissions

The Express application reads standard salesforce.com objects but never creates, modifies, or deletes them.  The application has its own set of custom objects that it creates and uses. 

By default, Salesforce provides full access to all custom objects when an application is installed.  You need to modify these permissions on the profiles of the users who will be using the application.

Setup a Custom Profile for the Xactly Express Sales Administrator:

A Sales Administrator needs to have full access to all the custom objects in the application.  This will enable multiple Sales Administrators to share each others’ work. 

To set the permissions on the Sales Administrator profile: 

1. In Salesforce go to Your Name(User Menu) > Setup > Manage Users > Profile
2. Open the profile that you set up to be used by the Sales Administrators by clicking Edit 
3. Scroll down to Custom App Settings and ensure that Xactly Express is set to “Default On”
4. Scroll down the page until you see the section “Custom Object Permissions”. 
5. The Sales Administrator should have Modify All and Create  access to every object with the XC_ prefix.  See image below:

6. Click “Save”. 
7. To enable all Xactly Apex Class Access, click on the Profile Name and scroll down to the bottom where it says "Enabled Apex Class Access." Click "Edit" and press "Save" when done.
   
   

   

   

8. To enable all Xactly Visualforce Pages, click on the Profile Name and scroll down to the bottom where it says "Enabled Visualforce Page Access." Click "Edit" and press "Save" when done.
   

   

   

Note: If the “Latitude 39 Express” tab is not being shown, go to the Profile>Edit> Custom Tab Settings and change it from “Tab Hidden” to “Default On”, then save:

Setup Custom Profiles for Other Users of Xactly Express:

The Sales Representative is the Xactly Express user type who will run Xactly Express to view his or her own commissions, commission plans, and credited sales transactions.  The Sales Manager is the Xactly Express user type who will use Xactly Express to view the commissions, commission plans, and credited sales transactions of his or her sales subordinates. 

You will need to set the appropriate permissions on Xactly Express objects after installation.  Salesforce.com only allows you to change permissions on custom profiles.  If you are currently using standard profiles for your users who will use Xactly Express, you need to define custom profiles for them. 

If you are already using custom profiles, skip this step.

If you are not already using custom profiles, set them up in Salesforce.com.  You can use one of the custom profiles that comes with Salesforce.com or create your own custom profile by cloning the currently used standard profile and assigning them to other users.  To create a custom profile:

1. Click Your Name(User Menu) > Profles > View or create a new profile
2. Select New Profile

3. Select the existing standard profile you want to copy, then name your custom profile                                                 

4. Click Edit and make any desired changes. Click 'Save'

5. Click 'Save'

6. Repeat steps 1 – 5 for each standard profile currently assigned to users of Xactly Express

Set Profile Permissions for all Other Users of Xactly Express Business Edition

Other users of the application will be the Sales Representative and Sales Manager types of users.  These users are people who receive commissions from their managers.  

These users will have “Read-only” access to most Xactly Express custom objects and will have “View All” access to some objects so they can access the appropriate parts of the application.  

 If you do not set the permissions for these profiles correctly, these users will not be able to use the application.

To set these permissions on each profile that a user of the system other than the Sales Administrators will use, do the following:

1. Click Your Name(User Menu) > Setup > Manage Users > Profiles
   
2. Open the profile that you set up to be used by the Sales Administrators by clicking edit
3. Scroll down the page until you see the section “Custom Object Permissions”.
4. Set the permissions as follows on the Xactly Express objects, which all start with XC:

6. Click “Save.”
7. Enable all Xactly Visualforce Pages by clicking Edit within the Profile and allocating all 'Xactly' pages.

9. Enable all Xactly Apex Class Access by clicking Edit within the Profile and allocating all 'Xactly' classes.

Step 2 - Manage Licenses

 When you are ready to give access to the system, you will need to allocate licenses to your users.  A user can NOT access Xactly Express until a license has been allocated.

1. Click on Your Name(User Menu) > Setup > Installed Packages under Build
        
2. Click on the 'Manage Licenses' next to Xactly Express package name
3. Add the appropriate users that should have access to the system

 Step 3 – Set up Users in Express

 After allocating users licenses, the next step is to grant the users access to Xactly Express

1. Select the Xactly tab from the top menu
2. Click the Setup tab, then click on the Manage Users button.
3. Add the appropriate users that should have access to Express and set their access level.
4. Click 'Save'

Step 4 – Assign Express Users to Comp Plans

After granting users access to Express, the next step is to assign them to commission plans.

1. Click the Plans tab > Edit Plan > Define Plan
2. Select a plan and check the boxes to assign users.
3. Click 'Save'
